What IRCC requires for certified translations?

IRCC requires a certified translation for any document that is not in English or French.

A translation is considered acceptable
by IRCC if it includes:
  • a complete and accurate translation of the entire document

  • translation of all stamps, seals, annotations, and handwritten text

  • a signed statement of translation accuracy

  • the name and contact details of the translator or translation company

  • IRCC does not require notarization unless it is explicitly requested.

What “certified translation” means for IRCC

For IRCC, a certified translation is defined by accountability, not by notarization or visual appearance.
  • IRCC does not require:

    • sworn translators
    • notarized translations
    • translations completed in Canada
  • IRCC focuses on whether the translation:

    • is complete
    • is accurate
    • includes a signed certification statement
    • clearly identifies the translator or translation company

Who can prepare certified translations for IRCC

IRCC accepts certified translations prepared by:
  • • certified translators who are members of a provincial association in Canada, or
    • professional translation companies that meet IRCC documentation requirements

The translator does not need to be physically located in Canada.

Translations prepared outside Canada are accepted by IRCC if they meet the certification requirements.

Why IRCC rejects translations

Most IRCC translation rejections happen for formatting reasons, not because the document itself is invalid.
  • Common reasons IRCC rejects translations include:

    • partial translations
    • missing certification statement
    • untranslated stamps or seals
    • missing translator identification
    • assuming notarization replaces certification

In most cases, IRCC rejections are preventable when the translation follows the required format.

How IRCC translation rules differ from U.S. requirements

Canada and the United States use different approaches to certified translations.
  • In Canada, IRCC focuses on:
    • accuracy
    • completeness
    • proper certification format

In the United States, agencies often focus on:
    • notarization
    • sworn statements attached to translations

Because of this difference, translations that are accepted in the U.S. are sometimes rejected by IRCC in Canada.
  • These requirements apply across most IRCC programs, including permanent residence, study permits, and work permits.

Understanding IRCC translation requirements before submitting documents helps avoid delays and resubmissions.
